The PI, their lab manager/financial contact, and department managers have the added permission to be able to view invoices from all cores created in iLab as well as address any funding issues in an invoice prior to the invoice being submitted to the financial system. Below is a list of our most common questions about invoices in iLab.
Who will receive invoices from cores using iLab?
Only one lab member will receive an email notification of new invoices. That person must be configured as a Principal Investigator & Financial Contact, or a Lab Manager & Financial Contact. The person who you wish to receive the email notification must be set as the Lab Primary Contact.
To set the primary contact:
- Navigate to your lab within iLab systems. Click on the Group Settings tab, the last tab on the right.
- Under the Communications Settings heading, select your Lab Primary Contact from the drop down list.
- Click the Save Preferences button at the bottom of the screen.
Who can access invoices in iLab?
Anyone listed as having the role of Principal Investigator or Lab Manager within the lab is able to view and download all invoices within the lab.
To view a list of invoices you have permission to see:
- Click the hamburger icon in the upper left corner of the screen to display the left navigation menu.
- Under the header Core Facilities, click on Invoices
- View the list of invoices in the center of the screen for all of the labs that you are a financial contact for.
The list will include all invoices from all the cores which you have completed reservations and/or services. You can use the filters on the left side of the main screen to narrow your search results. Once you have selected any filters, click the Apply Filters button at the bottom of the filter list.
